How to Find and Hire Your Ideal Virtual Assistant: A Comprehensive Guide

But here’s the catch: finding that perfect VA isn’t as simple as posting a job ad and hoping for the best. It’s an art and a science, and I’m here to guide you through the process.

Why Finding the Right VA Matters

Before we dive into the ‘how,’ let’s talk about the ‘why.’ A virtual assistant isn’t just an extra pair of hands; they’re an extension of your business vision. The right VA can:
- Free up your time for high-value tasks
- Bring new skills and perspectives to your business
- Help you scale without burning out
- Improve your work-life balance
But a poor fit can lead to frustration, wasted time, and even setbacks in your business growth. That’s why it’s crucial to approach the hiring process with intention and strategy.
Preparing for Your VA Search
Define Your Needs and Expectations
Before you start searching for a VA, you need to be crystal clear about what you need. This step is so crucial that I dedicated an entire episode to it in this series. If you haven’t already, I highly recommend checking out the first episode where we dive deep into preparing for a VA.
In your workbook, you’ll find exercises to help you:
- List tasks and responsibilities for your VA
- Document your processes and standard operating procedures (SOPs)
- Determine the time commitment you’re looking for
- Set a budget for your VA’s services
Take the time to complete these exercises. They’ll provide a solid foundation for your VA search.
Craft a Detailed Job Description
With your needs defined, it’s time to create a job description that will attract the right candidates. Your workbook includes a template and guidelines for creating an effective job description. Here’s what to include:
- Specific tasks and responsibilities
- Required skills and experience
- Time commitment (hours per week or month)
- Any specific software or tools they should be familiar with
- Your company culture and values
Be thorough, but also be realistic. Remember, you’re not looking for a unicorn who can do everything perfectly. You’re looking for someone who has the right foundation and is eager to learn and grow with your business.
Where to Find Your Ideal VA
Now that you’re prepared, let’s explore the best places to find quality VA candidates. Your workbook includes a pros and cons list for each of these options to help you decide which is best for your situation.
1. Referrals from Your Network
This is my top recommendation. Reach out to fellow entrepreneurs, business coaches, or anyone in your professional network. Ask if they know any VAs or if their VAs might have recommendations. This method often leads to the best matches because you’re tapping into pre-vetted talent.
2. Social Media and Professional Groups
Facebook groups for entrepreneurs or LinkedIn can be goldmines for finding VAs. I’ve had great success posting in these groups. Just make sure you’re clear about your needs and expectations in your post.
3. Online Platforms
Sites like Upwork or Fiverr can be helpful, but approach them with caution. While you can find talented individuals here, it can be hit or miss. I’ve had success finding specialized talent (like video editors) on these platforms, but for general VA work, I prefer other methods.
4. VA Agencies
Working with an agency can simplify the process, as they handle much of the vetting for you. However, be aware that this convenience often comes at a higher cost, and you may have less control over who you work with.
The Application Process

Once you’ve decided where to look, it’s time to set up your application process. Here’s how I approach it:
- Create a Google Form application: This helps organize applicant information efficiently. Include questions about their experience, availability, time zone, and rate. Your workbook contains a list of suggested questions to include in your application.
- Post your job description: Share it in your chosen venues (Facebook groups, LinkedIn, etc.) with a link to your application form.
- Review applications: When I did this, I received 144 applications! Don’t be overwhelmed. Use your criteria to filter out candidates who don’t meet your basic requirements.
- Conduct initial interviews: I narrowed my pool to about 20 candidates and conducted short (20-minute) video interviews. This helps assess their communication skills and gives you a feel for their personality. You’ll find a list of suggested interview questions in your workbook.
- Assign a test project: For the top 3-5 candidates, create a small paid project that mimics the work they’ll be doing. This is crucial for assessing their skills and work style. Your workbook includes an example test project to help you create your own.
Making the Final Decision
After the test project, you’ll likely have a frontrunner or two. Your workbook includes a decision matrix to help you objectively compare candidates. Consider:
- Their application, interview notes, and test project results
- Their experience level and how it aligns with your needs
- Their communication style and how well it meshes with yours
- Your instincts – sometimes that ‘gut feeling’ is spot on
Remember, this person will be an integral part of your business. Take the time to make the right choice.
A Note on International vs. Domestic VAs
This is a topic that comes up often, and it’s worth addressing. There are pros and cons to both:
Domestic VAs:
- Often have a better understanding of your local market and culture
- Typically charge higher rates
- May have more aligned working hours
International VAs:
- Can offer significant cost savings
- Often bring unique perspectives and skills
- May require more flexibility with scheduling
Ultimately, the choice depends on your specific needs and values. I’ve worked with both and have had great experiences. The key is finding someone who aligns with your business goals and work style, regardless of their location.
