5 Time Management Myths (and what to do instead)
Let’s talk about time management myths. I’ve spent years helping entrepreneurs figure out their time struggles, and I keep seeing the same pattern. People try the latest productivity hack, feel guilty when it doesn’t stick, then blame themselves for not being disciplined enough. But what if the problem isn’t you? What if it’s the advice itself?
The truth is, most time management tips were designed for a world that doesn’t exist anymore, or maybe never existed for most of us at all. They assume we all work the same way, have the same energy levels, and face the same challenges.
So let’s dig into five time management myths that might be making your life harder than it needs to be. And more importantly, let’s talk about what you can do instead.
Myth #1: You Just Need to Wake Up Earlier

Ah, the classic advice of waking up at 5:00 AM. I’ve even seen some business owners online take it a little too far and boast about waking up at 2:00 AM to start their day. What this myth ignores is that it’s not about how many hours are available; it’s about shaping those hours strategically. Sure, waking up early might give you extra time, but if your brain doesn’t function best at 5:00 AM, you’re just exhausting yourself.
Think about your own productivity peaks. Is morning your most productive window, or do you thrive between 11 AM to 3 PM? Instead of an earlier alarm, focus on when you’re most productive. Block out that time for your most important projects and guard it fiercely.
Your Action Item: Identify your peak productivity hours. Start keeping a log to track when you feel most energized, then schedule your most significant tasks during those times. Stop treating every task as a top priority, prioritize the ones that need your brain’s best energy.
Myth #2: Time Blocking Is the Answer
For some entrepreneurs, time blocking feels like a magic pill. You schedule your day into neat little boxes, convincing yourself you’re in control. But does that really work for you?
Life is unpredictable. If you’re juggling multiple responsibilities, like family, clients, or unexpected emergencies, rigid time blocks can leave you feeling even more frantic. Rather than forcing your day into a structure that may not match your reality, consider your priorities.
When those unexpected moments come up, do you have a framework to redirect your focus?
Your Action Items:
1. Write down your top three priorities for the week.
2. Schedule these into time blocks while leaving some flexible time to accommodate interruptions or spontaneous tasks.
3. Remember: life happens. Adjust and adapt!
Myth #3: You Just Need More Discipline
It’s easy to label ourselves as undisciplined when we can’t keep up. Maybe you think if you pushed harder, you’d keep up with everything. But is that truly about discipline?
Overcommitment often masks itself as a discipline issue. You’re likely already doing so much, but trying to manage too many “urgent” tasks can lead to burnout. Recognize that sometimes, it’s not about being disciplined; it’s about bandwidth.
Your Action Item: Track your focus levels throughout the day. If your energy runs out before your tasks do, it might be time to reevaluate what you’re trying to accomplish in a day. Prioritize high-energy tasks at the right time instead of blaming yourself for a lack of willpower.

Myth #4: Multitasking Makes You Efficient
If you believe multitasking gets more done, you’ve never been more wrong. Sure, you might feel productive, but are you really completing anything?
Think about it, you’re writing an email when a notification pops up, so you check it real quick. Then you remember you need to follow up on that project, so you open another tab. Before you know it, you’ve got five things half-done and your original email is still sitting there unfinished.
Each time you bounce between tasks, your mind has to essentially reboot. It’s like closing one app and opening another, there’s always that little lag time where you’re thinking, “Wait, where was I?” That mental gear-switching is exhausting, and it means everything takes longer and comes out a bit messier than it would if you’d just stuck with one thing at a time.
How to Combat This:
-
- Designate “focus blocks” for your tasks where you commit to working on one thing at a time.
-
- Look to batch similar tasks together. For example, spend one sitting writing all your captions instead of spreading it throughout the day.
Myth #5: You Have to Say Yes to Everything

Do you feel the pressure to say yes to every opportunity presented to you? Let’s dissect that.
While saying yes might keep you visible, it can also leave you overcommitted, taking time away from what truly matters to you.
Establishing boundaries is key. Start your week by locking in your personal priorities before opening your calendar to external requests. Also, when someone asks for your time, try responding with, “Not this week,” to keep it simple and maintain balance.
Conclusion
After diving into all these time management myths, here’s what I hope you’re taking away: you don’t need to become a productivity robot or force yourself into someone else’s system. The magic happens when you actually pay attention to how you work best.
Maybe you’re a morning person who crashes after 2 PM. Maybe you need background noise to focus, or complete silence. Maybe you work better in 25-minute sprints, or maybe you need solid 2-hour blocks. There’s no wrong way, just your way.
The goal isn’t to squeeze every last drop of productivity out of yourself until you’re running on empty. It’s to work smarter, not harder, so you can actually enjoy your life instead of just surviving it.
If you’re sitting there thinking, “Okay, but where do I even start?” I get it. That’s exactly why I created something to help you figure out what actually matters. It’s called the “Hell Yes, Hard Pass” Notion Task Sorter, and it’s basically a way to stop drowning in your to-do list and start focusing on what truly moves the needle. Bottom line: your time is yours. Your energy is precious. And those one-size-fits-all productivity hacks that make you feel like you’re failing? Yeah, it’s time to let those go.
