Learn How to Reclaim Your Time and Eliminate Tasks that Drain Your Energy Without Delivering Results

Do you feel like you are always looking ahead to some **magical** moment when life finally slows down and becomes manageable?
Here’s what I’ve learned after years of working with business owners who feel completely overwhelmed by their endless to-do lists; “easier” weeks rarely come. Instead, we find ourselves stuck in this exhausting cycle, always pushing through to the next deadline, the next project, the next crisis that demands our attention.
It’s not just you. Most of us have gotten really good at surviving chaos, but I feel like we’ve forgotten how to actually manage our time and energy in a way that feels sustainable. We’ve convinced ourselves that being constantly busy equals being productive, when really it just leaves us feeling scattered and exhausted.

The Illusion of the To-Do List
Can we be real for a second: when was the last time you finished every single task on your to-do list? If I had to guess, as soon as you finish one task, it feels like another five pop up. Have you caught yourself thinking, “If I can just push through this intense week of launches or client deadlines, then I’ll find my rhythm.”
But here’s the reality: something always takes its place. Once you’ve crossed off one item, a million more magically appear. This happens for a couple of reasons:

- You’re a creative powerhouse: If you’re anything like most entrepreneurs I know, your brain never stops buzzing with new possibilities, you see opportunities everywhere. Before you know it, you’ve said yes to three new projects, committed to a speaking engagement, started planning a course launch, and promised to explore that joint venture, all while trying to keep your existing business running smoothly. Sound familiar? When you’re constantly jumping from one urgent task to the next, you lose that strategic thinking that got you this far in the first place, you’re no longer the visionary leader steering the ship, you’re just trying to keep it from sinking.

- You’re saying ‘yes’ too often: Between client requests, networking opportunities, and side projects, it’s easy to take on more than you can realistically handle. Before you know it, you’re in a downward spiral of overwhelm.
The Allure of Denial

It’s easy to convince yourself that this craziness is just a blip, that once you get through this messy week you’ll finally have space to breathe and get back on track. But when you keep telling yourself it’s just one tough week, you’re really just avoiding the hard truth about why you always feel like you’re drowning.
This not only leads to decision fatigue, constantly second-guessing what demands your attention, but can also cloud your judgment. You find yourself ticking off a box, not because it’s a priority, but merely to get something done and quiet the noise in your head. This is a recipe for burnout.
A Real-World Example
One of my clients was actively networking through various conferences. She believed that saying yes to every opportunity would move her business forward. However, as her calendar filled up, she didn’t take into account the real work involved in preparing for these events. Soon she found herself overwhelmed, scrambling to create slide decks and presentations for conferences while managing her existing client load. Each time she thought, “If I can just get through this conference, everything will calm down,” instead she faced another wave of tasks. Even when she finished the conference, she was right back where she started: overwhelmed and missing deadlines.
The Key to Combat the Cycle
So, how do you break free from this hamster wheel of chaos? The first step is to start planning your work. And no, I don’t mean just jotting down your tasks sporadically. Take the time to lay it all out.

- List all your tasks: Get all your ideas out of your head and onto paper. Create a list of every single thing that is currently on your plate, everything you’re responsible for in your business.

- Make your workload visible: Understanding the sheer volume of work you have can be eye-opening. Sometimes you’re doing more than you realize, and visibility can help highlight when you’re overcommitting.

- Create a realistic action plan: Once you have your tasks laid out, it’s time to create a smart schedule. This isn’t about filling each hour to capacity but instead focusing on 70% of what you realistically believe you can accomplish. The real breakthrough happens when you finally get honest about what you can actually handle and have the courage to stick to those boundaries.

- Prioritize your tasks wisely: Each week, take some time to put your tasks onto your calendar. Consider what your real week looks like: Are there days filled with client meetings? Are there commitments that pull you away from deep work? Look for ways to make sure that you’re allowing time for those important projects, not just the everyday demands of business.
