As a business owner, you might feel like you’re the only one who can do everything in your business correctly. I get it – I’ve been there too. But here’s the thing: trying to do it all yourself is a surefire path to burnout and stagnation.

Delegation is not just about offloading tasks; it’s about strategically leveraging your time and resources to grow your business. When done right, delegation can:

  • Free up your time for high-level strategy and growth activities
  • Increase overall productivity and efficiency
  • Allow for business scalability
  • Improve work-life balance for you and your team
  • Enable you to focus on your zone of genius

But despite these benefits, many entrepreneurs struggle with delegation. Let’s explore why and how to overcome these challenges.

Common Delegation Challenges (And How to Overcome Them)

1. Not Knowing What to Delegate

One of the biggest hurdles I see with my clients is simply not knowing what tasks they should be handing off.

Solution: Start by tracking your time for a week. Note down every task you do and how long it takes. Then, categorize these tasks into three buckets:

  • Tasks only you can do (your zone of genius)
  • Tasks that require your input but could be prepared by someone else
  • Tasks that could be entirely handled by someone else

Focus on delegating items from the third category first, then gradually move to the second as you build trust with your VA.

2. Fear of Losing Control

It’s natural to worry that things won’t be done exactly as you would do them.

Solution: Remember, the goal isn’t perfection; it’s progress. Start by delegating low-risk tasks to build confidence. As you and your VA develop a rhythm, you can gradually hand over more responsibility.

3. Lack of Clear Processes

If your business processes aren’t documented, it’s hard for anyone else to step in and help.

Solution: Invest time in creating Standard Operating Procedures (SOPs) for recurring tasks. This not only makes delegation easier but also improves overall business efficiency.

Here’s a quick guide to creating an SOP:

  1. List the steps of the process
  2. Add details and explanations for each step
  3. Include screenshots or screen recordings where helpful
  4. Have someone else test the SOP and provide feedback
  5. Refine and update as needed

4. Difficulty Prioritizing What to Delegate

With so many tasks on your plate, it can be challenging to decide what to delegate first.

Solution: Use the Eisenhower Matrix to prioritize tasks:

  • Urgent and Important: Do these yourself
  • Important but Not Urgent: Plan these and consider partial delegation
  • Urgent but Not Important: Delegate these
  • Neither Urgent nor Important: Eliminate these if possible, or delegate if necessary

How to Delegate Effectively: A Step-by-Step Guide

Now that we’ve addressed some common challenges, let’s walk through the process of effective delegation.

Step 1: Identify Tasks to Delegate

Start with the time-tracking exercise mentioned earlier. Look for tasks that:

  • Are repetitive or routine
  • Don’t require your specific expertise
  • Take up a lot of your time but aren’t directly related to revenue generation
  • You don’t enjoy or aren’t particularly good at

Step 2: Choose the Right Person

Ensure the task matches your VA’s skills and capacity. Don’t be afraid to have an open conversation about their strengths and areas for growth.

Step 3: Provide Clear Instructions

This is crucial for successful delegation. Your instructions should include:

  • The desired outcome
  • Any relevant deadlines
  • Step-by-step process (refer to your SOP if you have one)
  • Resources or tools needed
  • Your preferred communication method for questions or updates

Step 4: Set Expectations

Be clear about:

  • Quality standards
  • Timelines
  • How and when you want to be updated on progress

Step 5: Give Authority with Responsibility

Empower your VA to make decisions within defined parameters. This shows trust and reduces the need for constant check-ins.

Step 6: Be Available for Questions

Especially in the beginning, make sure your VA knows they can come to you with questions or concerns.

Step 7: Provide Feedback

Regular, constructive feedback helps your VA improve and aligns their work more closely with your expectations.

Step 8: Review and Refine

Periodically review the delegated tasks and processes. Are they still relevant? Can they be further optimized? This ongoing refinement ensures your delegation strategy evolves with your business.

Solution: Use detailed SOPs, provide examples of the desired outcome, and encourage questions for clarity.

Mistake: Constantly checking in or taking back control of delegated tasks.

Solution: Set clear expectations and check-in points, then trust your VA to handle the task. Focus on outcomes rather than methods.

  1. Evette’s Transformation: Evette was very tech-averse and preferred working with pen and paper. We developed a hybrid system where she could still use her notebooks but then transfer key information into a digital system her team could access. This allowed her to work in her preferred style while still effectively delegating to her team.
  2. Sylvia’s Time Reclamation: Sylvia, who helps clients obtain Italian citizenship, was working 60-hour weeks doing everything herself. We mapped out her processes, documented them, and she was able to hire a full-time admin. Now, Sylvia focuses on client interactions and strategic work, while her admin handles paperwork and follow-ups.
